Didier Sylvain Coaching/The Presence Project is hiring an Executive Assistant to work directly with the CEO to help manage the day-to-day affairs of our leadership and personal development company. This is an excellent opportunity for a highly skilled, proactive problem solver with exceptional communication skills and attention to detail. You will be the key person responsible for making sure events, client engagements and client service run smoothly and efficiently.


RESPONSIBILITIES

Operations

  • Serve as primary people manager for all team members.

  • Manage current and future Coherence programs, workshops and events including registration.

  • Communicate with assistant coaches and facilitators, formatting curriculum + slide decks, working with the technical team, event production, tracking finances/budgets and data management.

  • Manage technical tools used by the company (GSuite, Zoom, Squarespace, Mailchimp, Streak, Dubsado, Asana).

  • Constantly be optimizing systems for efficiency and optimal user experience, researching and implementing new tools and techniques as needed.

  • Meet weekly with the CEO to discuss business needs and strategy, operations and priorities.

Business Development + Client Relationships

  • Support private client engagements and trainings, serving as the through line from inquiries, onboarding and completion.

    • Schedule calls, answer email and phone inquiries, conduct intake calls with potential clients.

    • Draft copy for internal and external documents and consulting proposals (SOWs), invoices, update slide decks or other program materials.

  • Develop new opportunities and programs in partnership with the founder that leverage company strengths and further the mission of the organization.

Marketing & Communications

  • Oversee customer service, ensuring prompt, high-touch communications, as well as the first point of contact for sales inquiries.

  • Oversee a marketing strategy in collaboration with marketing partners (from a digital marketing agency to graphic designers) to coordinate and implement projects from start to finish.

  • Write and develop marketing content, including but not limited to: emails, web copy, print collateral, newsletter copy, social media content, visual graphics, blog posts, and more.

  • Devise creative ways to reach potential customers and to deepen engagement with existing users.

  • Manage engagement on LinkedIn, Instagram and Facebook.

  • Develop relationships with strategic industry partners to grow our community.

  • Generate opportunities for exposure through booking Didier to speak on podcasts, at conferences, webinars etc.

  • Create strategy and oversee content for email marketing through Mailchimp and Streak including automations, newsletters, and lead magnets to grow our customer base and generate more sales.

  • Hold overall vision and maintain/update our main website on Squarespace.

NOTE: This position is part-time and virtual, meaning you can work from anywhere.

Preferred:

  • 3+ years working in the leadership, coaching, personal development and/or wellness industry. Virtual events are a plus.

  • 3+ years of solid marketing experience in a professional environment.

  • You are an exceptional writer and know how to make every word count. You can switch easily from writing messaging about a new product feature, to crafting an impactful marketing email, to developing a lighthearted social media post.

  • You have excellent interpersonal skills and love building relationships. You have strong English language proficiency in both written and verbal form.

  • Savvy with technology, and demonstrated experience with programs like Asana (project management), Mailchimp (newsletters), Typeform (managing forms and applications), Squarespace (websites), and Google Suite.

  • Excellent knowledge and comfort in creating client proposals and other documentation.

  • You are located in the pacific time zone or ability to work pacific hours. Located in the Los Angeles area a plus.

  • You have a real interest in the value of coaching, leadership development, somatics, healing modalities and/or you have a personal development practice of your own (yoga, meditation, crafting, etc.).

TIME COMMITMENT

  • Between 10-20 hours per week to start, with the potential to grow.

  • Would love to build a long term working relationship with the right person.

  • Most hours are flexible. Sometimes you will be asked to support on weekends.

  • Workload will be on the heavier side leading up to, during, and immediately after events.

Didier is a trusted guide to leaders in tech/digital media, philanthropy, entrepreneurship, justice movements, and creative communities around the globe. Didier also serves as a coach at HealHaus and has coached and taught courses on leadership at Carnegie Mellon University and the University of Notre Dame. He is an artist, composer, PhD candidate in Ethnomusicology (Columbia University), dedicated husband, and mentor to many.

Along with a group of Affiliate Coaches, Didier works with clients individually and in group coaching environments as well as with companies and other organizations on custom workshops and group programs.
